Data collection and repository play
a pivotal role in the management, preservation and dissemination of Knowledge. Understanding these two concepts is important
because they shape how information is generated, organized, accessed and
preserved. This paper summarises the two topics.
Data collection is the systematic process of gathering information for a specific purpose such as research, planning, evaluation, or decision making (Creswell & Creswell, 2018). In Libraries, data collection is necessary for assessing user satisfaction, measuring performance, identifying information needs and improving service delivery. Data can be categorized using different ways including quantitative and qualitative (Taherdoost, 2021).
Bryman (2016) states that there are two broad categories of data collection: primary and secondary methods. Primary data is gathered directly through surveys, interviews, focus group discussion and observations, Secondary data involves reusing existing databases, published reports, or digitized records (Taherdoost, 2021). For instance, in public libraries, business records serve as the primary source of data for ensuring accountability, which in turn enables transparency. When planning outreach programmes, public libraries frequently draw on secondary data sources such as reports and school enrolment statistics. Despite its benefits, data collection faces challenges. low survey response rates, limited funding, inadequate staff research skills, and growing privacy concerns with digital user data, all affects data quality and scope (Taherdoost, 202i).
A repository is a managed storage system designed to collect, preserve, organize, and provide access to digital content. It plays a critical role in supporting knowledge organization and scholarly communication. I argue that this evolution has strengthened libraries role as guardians of knowledge in both print and digital formats.
There are three common types of repositories. Okon (2020) define Institution’s repositories as a system that collects, preserves, manages, and provides access to intellectual products of a community, such as faculty work, student theses and dissertations, e-journals, datasets etc. while Subject repositories focus on a specific discipline or field. For example, a medical or agriculture repositories. On the other hand, data repositories are platforms designed to store raw research data for reuse, verification and transparency. Despite their importance, repositories face challenges. Including inadequate funding, unreliable electricity, poor internet connectivity, copyright restrictions, and limited technical expertise (Okon, 2020).
In conclusion, data collection and repository are closely linked. Data gathered through research, surveys, or intuitional activities needs to be stored systematically for future use. Repository provide the structure for organizing and preserving such data. Without repositories, valuable information may be lost, unidentified, or inaccessible.
